Short answer

A Teams link is only added when the booked service has Add online meeting turned on, the staff member who gets the booking has a Microsoft 365 licence that includes Teams meetings, and the customer gave an email address. If one of those is missing, the appointment is created without a link. Check them in that order. A separate, known problem produces two different links for the same appointment. That one has no documented fix.

1. Turn on "Add online meeting" for the service#

Online meetings are a per-service setting, so one service can have links while another doesn't. This was the accepted fix on a thread where more than 60 people had the same problem.

  1. Open your shared booking page and select Services.
  2. Select the service, and stay on Basic details.
  3. Turn on Add online meeting.
  4. Save changes.

When it's on, Microsoft says a join link "unique to the booking" is added to the calendar event for both staff and customer, and to "all confirmation and reminder emails". Microsoft doesn't document whether turning it on adds links to bookings that already exist. Check upcoming appointments individually and send links manually if needed.

The meeting client comes from each staff member's default (Teams or Skype). Microsoft recommends making Teams the tenant default for Bookings.

2. Check the booked staff member's licence#

Microsoft's Teams admin documentation lists this prerequisite: "all staff participating in meetings have a license that supports Teams meeting scheduling". A Microsoft Q&A answer adds that a free Teams account isn't enough.

This explains the most common pattern, where some bookings get links and others don't. Look at who was assigned to the bookings without links. If it's always the same person, check that person's licences in the Microsoft 365 admin center. Watch for staff added from outside your organisation too: they don't hold a licence in your tenant, and Microsoft doesn't document how online meetings behave for them. See adding external staff.

3. Check the customer's email#

The Bookings FAQ is direct: if the customer leaves the email field empty, "there's no way for the confirmation mail to be delivered", and the Teams link is delivered in that email. The event still exists on the staff calendar with the link, but the customer never sees it. Keep the default Customer email field required, and see customers not receiving emails if emails are sent but not arriving.

  • Licence toggle workaround. On a 2022 Q&A thread, the accepted workaround was to remove the Bookings licence from the affected user, wait about 24 hours, then assign it again. This is community advice, not a Microsoft-documented fix.
  • Government cloud. Microsoft's Teams admin doc says the Bookings app in Teams isn't supported in GCC, GCC High, DoD or sovereign clouds. If you're in one of those, check with your admin what online meeting options you have.
  • Recent changes. Microsoft notes business-level setting changes can take up to 10 minutes to apply.

On Microsoft Q&A, 41 people reported Bookings creating different Teams links for the same appointment, which can leave the staff member and the customer waiting in separate meetings. The thread has no fix from Microsoft as of September 2026. An automated answer on a newer thread suggested removing and re-adding the staff member. Microsoft hasn't confirmed that works, and it wouldn't repair links already sent. What people actually do:

  • open the appointment in the Bookings Calendar tab and copy the link it shows
  • send that link to the customer directly, or join from whichever link the customer has

Microsoft also recommends a Teams meeting policy that lets People in my organization bypass the lobby, so staff join straight away while external customers wait in the lobby.

As of September 2026, customers can't choose between Teams, phone and in-person on the same service. See letting customers choose the location. Bookings appointments can't be edited from Outlook, so any change to the meeting should be made in the Bookings web app.
