Short answer
When a customer books, Bookings puts the appointment on the Outlook calendar of the staff member it was assigned to, and on nobody else's. So the first thing to check is who that was: with "Anyone" selected, Bookings picks a staff member for the customer. If the right person was assigned and it's still missing, the usual causes are staff added from outside your tenant, a pending staff approval, or a time zone mismatch that puts the event at a different time. Keep in mind that the connection runs in two directions and each fails differently.
Two different "sync" problems#
People describe both of these as "Bookings isn't syncing with Outlook":

The most-followed thread on this (98 people with the same question) mixes the two, which is partly why it never got a clear answer.
Checks when a booking is missing from Outlook#
1. Confirm who was booked. Open the appointment in the Bookings Calendar tab and look at the assigned staff. If customers can pick "Anyone" (or can't choose staff at all), Bookings assigns someone for them. Microsoft's FAQ says this is random among available staff, while community tests report alphabetical order. Either way, it may not be the person you expected. The event is on that person's calendar.
2. Confirm the staff member is internal. Staff from outside your Microsoft 365 organisation can be added by email, but Microsoft says they "will not be able to share free/busy information", and they're limited to the Guest role. They receive the confirmation email and calendar invite, but whether it lands in their calendar depends on their own mail system and on them accepting it. See adding external staff.
3. Check staff approval. If your admin turned on Require staff approvals before sharing free/busy information (Microsoft 365 admin center → Settings → Org settings → Bookings), staff must accept an email invitation before they're bookable. Staff who haven't accepted, or who selected Reject, won't be booked. See staff not bookable.
4. Check the time zone. If the staff member's Outlook time zone differs from the Bookings business time zone, the event can appear at a different hour and look missing. Bookings has no per-staff time zone. See wrong time zone.
5. Check in Outlook on the web. Desktop Outlook can lag behind its cache. If the event appears in Outlook on the web, the booking synced and the desktop client needs to catch up.
6. Check the staff settings on the page. On the Staff page, make sure the person is still listed with a work email address. Microsoft notes that people who left the company have to be removed from each booking page separately, so check for leftover entries.
7. Wait a few minutes, then ask for a trace. Microsoft's FAQ describes transient sync errors that "usually resolve themselves after a few minutes". If an event is still missing, an admin can run a message trace on the booking mailbox to see whether the invite reached the staff member.
Fix the reverse direction at the same time#
While you're on the Staff page, also confirm for each person:
- Events on Microsoft 365 calendar affect availability is ticked (other Microsoft docs call it "Events on Office 365 calendar affect availability" or just "Events on calendar affect availability")
- the staff member shares their calendar with the organisation as Can view when I'm busy (Outlook → Share → Calendar)
If Bookings shows the error "This staff member's calendar can't be synced", these two settings are the documented fix.
What Outlook can't do with Bookings appointments#
As of September 2026:
- Editing in Outlook doesn't update Bookings. Microsoft's FAQ: "Bookings appointments can only be edited from the Bookings web portal." Reschedule or cancel in Bookings so the customer is notified.
- Only the primary calendar counts for availability. Subscribed calendars, secondary calendars and Google calendars don't block time.
- Owners don't automatically get copies. Being an administrator of the page doesn't put other staff members' appointments on your calendar. Use the Bookings Calendar tab, the Viewer role, or the business notification described in staff notifications.
