Style and brand your Microsoft Bookings page

This guide walks through every branding control Microsoft Bookings gives a shared booking page, in the order you'd set them up, then lists what can't be changed as of September 2026. It's for whoever owns the booking page, usually marketing or operations working with a Bookings admin. Expect 30 to 45 minutes, most of it writing service descriptions and checking the result on a phone and in a confirmation email.

The short version: on Microsoft's page you control a logo, one colour theme, your business details and your own wording. You don't control layout, fonts, CSS or the Microsoft footer.

Prerequisites#

  • A shared booking page, and an Administrator role on it. "Bookings with me" personal pages only offer predesigned banner images, with no logo or colour. See /answers/microsoft-bookings-logo-and-colors.
  • Your logo file, your brand colour, and the URLs of your privacy policy and terms.
  • Bookings open in the web app: app launcher → Bookings → under Shared booking pages, choose the page.

Step 1: Business name, contact details and policies#

Open Business information in the left pane. On Basic details:

  1. Business name. This is the name customers see on the page and in emails. It's the only required field. Changing it doesn't change the page URL, which comes from the booking mailbox address (/answers/change-microsoft-bookings-page-url).
  2. Address and phone. Microsoft's Graph documentation says the business address, phone and website URL "appear in the footer of a business scheduling page". Leave out anything you don't want public.
  3. Website URL. Your home page.
  4. Privacy policy and terms & conditions URLs. Fill both in. If no privacy URL is set, the page shows a generic line, "The policies and practices of" your business name "apply to the use of your data", which reads oddly to customers.
  5. Send customer replies to. The address that gets replies to confirmations and reminders. It doesn't change the sender address.
  6. Select Save.

Still on Business information, under Upload logo, select Change, then Upload photo, then Save.

Microsoft doesn't publish a recommended size, aspect ratio, format or file-size limit for the Bookings logo. What the forums show:

  • The logo displays small on the page, and there's no resize control.
  • Users have reported it blurry in confirmation emails at every size they tried, from 64 to 2,000 pixels wide, in PNG and JPG.
  • Since late 2025, some users report the logo showing after upload and then disappearing after Save, with no fix posted.

So use a simple mark that still reads when it's small, check it on the page and in a real confirmation email, and read /answers/microsoft-bookings-logo-blurry-not-saving if it won't stick.

Step 3: Colour theme and logo display#

Open Booking page and scroll to Customize your page. Microsoft's support article describes it as "where you'll set your color theme, and logo":

  • Color theme. "Select the color combination that most closely matches your brand." The default is a neutral blue and grey.
  • Logo. Choose whether to display the logo you uploaded in step 2.

Save and publish, then open the public link in a private window.

About exact colours: the Graph API stores a single page colour as a hex code (bookingPageColorCode, format #123456). Microsoft doesn't list the preset themes, and doesn't document whether the current web app has a field for your own hex value. In the older interface, a custom hex field existed but rejected many valid codes, and that thread gathered 60+ "same question" votes without a fix. If your exact colour isn't offered, pick the closest preset. There is one accent colour, not a palette.

On Booking page, Customer data usage consent adds a checkbox with consent text that customers must tick before they can book. Microsoft's API stores this as customerConsentMessage, so the wording is yours. Keep it to one or two plain sentences and link to your privacy policy in step 1 rather than repeating it.

Step 5: Services, in your words#

Each service is a small piece of copy. Open Services, pick a service, and on Basic details set:

  • Service name. Say what the customer gets ("30-minute onboarding call") rather than using internal labels.
  • Description. One or two sentences on who it's for and what to prepare.
  • Location. Microsoft shows it in emails and on the calendar event.
  • Language. Each service can override the page language (see step 6).

Then open the service's Notifications page. Microsoft's confirmation email template can't be edited, but Additional information for Email Confirmation adds your own text, such as what to bring, parking, or how to reschedule. Reminders and follow-up emails can carry a custom message as well. See /answers/customize-microsoft-bookings-confirmation-email.

Step 6: Language and time zone#

On Booking page, open Region and time zone settings (Microsoft's how-to also calls the control "Change language and time zone settings"). Choose the page language and your business time zone.

  • Visitors can't switch the language themselves. The page shows one language.
  • A service can have its own language, set on the service's Basic details. When a customer picks that service, its content switches to that language. A 2023 user comment says custom fields aren't translated.
  • Visitors see times in their own time zone unless you tick "Always show time slots in business time zone".

Making an embedded page feel like yours#

If you embed the page on your site, most of the branding comes from what surrounds it:

  • Put a heading, a short intro and your own trust details (address, cancellation policy) above the frame, in your site's fonts.
  • Match the Bookings colour theme to your site's accent as closely as the presets allow.
  • Give the frame a fixed height tall enough for the details form, so visitors don't hit a double scrollbar. See /answers/microsoft-bookings-iframe-height-mobile.

Common problems#

The colour won't save or the hex code is rejected. A long-standing issue in the older interface. Choose a preset theme and save again.

Logo disappears after saving. A known 2025–26 report with no published fix. Try a different browser, re-upload, and add your voice to the Feedback Portal idea linked from /answers/microsoft-bookings-logo-blurry-not-saving.

Page shows in the wrong language. Check Region and time zone settings on the booking page itself, not your Outlook language, which only affects the admin view. Then check whether the service has its own language set.

Embedded page is a blank box. "Require a Microsoft 365 account from my organization to book" is on under access control. Turn it off for a public page.

Embed is cut off or cramped on phones. Raise the frame height, or link to the full page on mobile.

Frame blocked by your site's security headers. Allow frame-src https://outlook.office.com https://outlook.office365.com in your Content-Security-Policy.

Doing this with BookingsXP#

If the preset theme and fixed layout aren't enough, BookingsXP puts a booking widget for your existing shared booking page on your site, with no Microsoft sign-in or admin consent.
