Microsoft Bookings alternatives in 2026: an honest shortlist

Switch to an alternative if you need something Microsoft Bookings doesn't do at all: taking payment at booking, fair round-robin assignment, routing leads from a form, or a signed HIPAA BAA from your scheduling vendor. Keep Microsoft Bookings if your gaps are about the website (branding, embed height, conversion tracking) rather than scheduling itself, because those can be solved without moving calendars, staff and customer data out of Microsoft 365.

First, check whether you need to leave#

Bookings is included in listed Microsoft 365 and Office 365 plans (Business Basic, Standard and Premium, E1, E3, E5, A3, A5, F1, F3, Teams Essentials, Teams Premium and several Office 365 plans). Its data sits in Exchange Online shared mailboxes under your existing compliance policies. It creates a unique Teams link for each online appointment. For many service teams, that is enough.

The hard limits, as of September 2026, are:

  • No payments. Microsoft's FAQ: "No, there's no payment support in Bookings."
  • No round robin. When a customer picks "Anyone", staff are "assigned randomly", with no equal distribution or caps. Community reports describe alphabetical-first assignment instead. See round robin in Bookings.
  • No routing forms or lead qualification.
  • No webhooks. The Power Automate connector is in preview, admin-only, and limited to five flows per Bookings mailbox. See Bookings webhooks.
  • No ad-platform tracking. Attribution is a RefID URL parameter and a TSV report. There's no documented GA4, Google Ads or Meta integration and no redirect after booking. See GA4 conversion tracking.
  • Limited branding. Colours and a logo only. No custom CSS or vanity domain is documented, and the embed is a plain iframe.

The alternatives#

Calendly#

A standalone scheduler with a free plan and per-seat pricing. Round robin is on Teams and Enterprise, and routing forms are on Teams and above. GA4, Meta Pixel, webhooks and Stripe or PayPal payments start at Standard. It connects to Outlook on all plans and adds Teams links for Microsoft 365 Business or Office 365 Education accounts. Cal.com#

A hosted scheduler whose free plan includes Stripe and PayPal, webhooks, and Outlook and Teams apps. Round robin, redirect-on-booking and branding removal start at Teams, and US and EU hosting is listed on Organizations. Cal.com announced on April 14, 2026 that it was going closed source. The open, self-hostable edition is now Cal.diy, an MIT fork without Teams, Organizations, Insights, Workflows or SSO, which its README recommends for "personal, non-production use". Acuity Scheduling#

Built for client-facing service businesses and priced per account by number of calendars. Stripe, Square, PayPal and Venmo payments are on all plans. Text reminders are on Standard and Premium. A HIPAA BAA, custom CSS and multiple staff time zones are on Premium. Microsoft Teams isn't among the video-conferencing integrations it lists. There's no free plan, only a 7-day trial. Chili Piper#

A lead routing and scheduling platform for inbound sales teams. It offers form routing, weighted and multi round-robin, and Salesforce object routing. It integrates with Office 365 calendars, Teams and Outlook. Pricing is annual only and starts at $15,000 per year. Full comparison: Microsoft Bookings vs Chili Piper.

Zoho Bookings#

A low-cost option with a free single-user plan. Round robin (four algorithms) is on Basic and Premium. Routing forms, custom domain, custom CSS, white labeling, payments, SMS and Google Analytics are on Premium. Zoho offers region-specific data domains, including the US and EU. A few readings of the table:

  • Payments are the most common deal-breaker. Every alternative except Chili Piper lists payment collection. Bookings has none.
  • "Fair" staff distribution means Calendly Teams, Cal.com Teams, Zoho Basic or Chili Piper.
  • Healthcare practices that need a BAA from the scheduling vendor will find it stated explicitly only on Acuity Premium among these five.
  • Price ranges from a few dollars per user (Zoho Basic) to a five-figure annual contract (Chili Piper). Match the tool to your volume.

When to keep Microsoft Bookings#

  • Your organisation already has an eligible Microsoft 365 plan and wants no extra vendor, invoice or data processor.
  • Appointments are service bookings where the customer picks a staff member, or where random assignment is acceptable.
  • You rely on Teams links, Outlook calendars and Microsoft's own confirmation emails.
  • Security or procurement prefers booking data to stay in Exchange Online.

When to switch#

  • You must take payment when someone books.
  • You need round robin that spreads meetings evenly, or routing from a form.
  • You need a vendor-signed HIPAA BAA for scheduling.
  • You need webhooks for every booking at a volume the Power Automate connector can't handle.
